LED Letter Rentals - Rental Contract

A quote holds pricing and event date availability for 5 days.

Deposit & Payment

A non-refundable deposit of 50% is required with your signed rental agreement to confirm your event date. The remaining balance, including any changes, is due one week before your event. A credit card must be on file for any additional costs. We accept cash, Venmo, and Zelle for payment. If you are sending a check, we must receive it in advance of the event.

Failure to pay by the due date will be considered non-compliance with the agreement. Items may be made available to others without notice. No refunds will be given for previous payments.

Applicable state and local taxes will be added to the total rental cost. If the Renter is tax-exempt, a valid and current tax exemption certificate must be provided prior to payment. Without this documentation, sales tax will be charged in accordance with Illinois law.

Cancellations & Refund Policy
If the Renter cancels more than 10 days before the event, a refund will be issued minus the non-refundable 50% deposit. Cancellations within 10 days of the event will require full payment. No refunds will be issued for cancellations due to weather unless otherwise specified in writing.

Security Deposit
A refundable security deposit of $150 may be required prior to delivery. This will be returned within 7 days after the event if no damages are assessed. Alternatively, we reserve the right to place a temporary hold on the credit card on file for potential damages.

Delivery & Pickup

Please confirm the delivery and pickup time when finalizing the rental agreement. Be sure to include the on-site point of contact, full address, and setup details such as whether it will be indoors or outdoors, on a stage, and the specific area within the venue.

All rental items must be ready for pickup at the scheduled time. If they are not, a second delivery fee will be incurred.

Setup

Setup is included with delivery. If we suspect misuse, we won’t leave the equipment, and no refunds will be issued. Avoid moving the letters once in place to prevent damage. The setup location must be dry and stable. A backup plan is required for outdoor events in case of bad weather. No attachments to letters unless approved.

Weather Considerations

For outdoor events, the Renter must provide a suitable backup plan in case of inclement weather. LED Letter Rentals reserves the right to withhold setup if conditions are deemed unsafe (e.g., rain, high winds, extreme heat). No refunds will be provided if the event proceeds without a proper backup plan.

Force Majeure

LED Letter Rentals shall not be held liable for failure to fulfill rental obligations due to circumstances beyond our control, including but not limited to acts of God, natural disasters, severe weather, government restrictions, labor strikes, or power outages. No refunds will be issued in these cases. The Renter may apply the deposit to a rescheduled date within the same calendar year, pending availability.

Prohibited Use

The Renter agrees not to use the equipment for unlawful purposes or in environments that could damage the letters, including but not limited to exposure to water, fire, or excessive force. Any unauthorized modifications, decorations, or attachments may result in additional charges.

Assumption of Risk

The Renter acknowledges and agrees that the use of LED Letter Rentals equipment involves inherent risks, including but not limited to personal injury, property damage, or loss. LED Letter Rentals will deliver and professionally set up the equipment as agreed. Once installed, the Renter assumes all risks associated with the equipment during the rental period, including any risks arising from moving, repositioning, modifying, or tampering with the setup without prior written approval from LED Letter Rentals.

Indemnification

Renter Liability for Equipment Use:
The Renter agrees to indemnify, defend, and hold harmless LED Letter Rentals, its owners, employees, and agents from any and all claims, liabilities, damages, or expenses (including reasonable attorney fees) arising directly from the Renter’s use, misuse, or unauthorized modification of the rental equipment.

Mutual Indemnification for Other Event-Related Matters:
Each party further agrees to indemnify, defend, and hold harmless the other party, including their respective employees, agents, and representatives, from any and all third-party claims, liabilities, damages, or expenses arising from that party’s own negligent or intentional acts or omissions in connection with the event, excluding issues directly involving LED Letter Rentals’ equipment.

Limitation of Liability

In no event shall LED Letter Rentals be liable for any indirect, incidental, special, or consequential damages arising out of or related to the rental or use of the equipment. LED Letter Rentals’ total liability for any claim, whether in contract, tort, or otherwise, shall not exceed the total amount paid by the Renter for the rental.

Safety Guidelines

The Renter agrees to follow all safety guidelines and instructions provided by LED Letter Rentals regarding the setup, operation, and maintenance of the LED marquee lights. The Renter is responsible for ensuring the safety of all individuals in proximity to the equipment during the rental period.

Damaged Items

The Renter is responsible for the equipment once it has been delivered and set up. The Renter must pay for any damage or loss that occurs during the rental period. Slight cosmetic marks consistent with normal use will not result in damage fees. Items will be assessed upon return, and the Renter will be notified of any charges within 5 days. Payments for damages are due within 7 days.

However, if any equipment arrives damaged or unusable at the time of delivery and setup, LED Letter Rentals will be responsible for repairing or replacing the item, or issuing a full or partial refund based on the extent of the issue. Any such concerns must be identified and documented by the Renter during delivery and setup.

Photography

By renting from LED Letter Rentals, you grant us permission to photograph the setup and use event photos for marketing and promotional purposes without compensation. If you do not want us to use event photos for any reason, you must notify us in writing when confirming the rental agreement. We will always respect client privacy when such a request is made.

Governing Law

This agreement shall be governed by and construed in accordance with the laws of the State of Illinois. Any disputes arising from this agreement shall be resolved in the courts located in Cook County, Illinois.
